Reuse and Repurpose Project Communications

Communicating well with your project team and key stakeholders is critical to project success, but it can be overwhelming to develop content for all of the formats and ways you need to communicate across different groups. Reusing and repurposing project communication content is a great way to save time!

When you begin communication planning, you will likely see some overlap in the types of information different stakeholders need. Can your notes from a team meeting help you create weekly reports? Can the content from that weekly report roll up into a monthly report? Can your monthly report content be repurposed on your website or as social media posts? Look for overlap in information needs to find opportunities to reuse content.

Create and use templates for common communications, such as reminder emails about tasks, team meeting agendas, and progress reports. Creating templates is also a great way to be intentional about what you want to communicate, as it’s an exercise in thinking through your project communications before you are in the middle of a project. Don't wait until you have an urgent message to get across or need critical information or a task completed! Think about your messages early, in the planning phase of your project, and decide where you can reuse and repurpose similar content.
