Q&A: Handling Staff Transitions During a Project

When a team member leaves a project, we often have to transition their tasks and role to a new team member. To support an effective transition:

  • Ensure the new team member understands the project’s scope or purpose and how it supports the organization’s larger mission.

  • Clearly define their role on the project, including addressing any changes from the role the team member leaving may have played.

  • Orient them to progress that has already been made on the project and where the project is headed.

  • Introduce them to existing team members and the team’s ways of working (communication formats, team agreements, etc.).

  • Provide them with a task list and clear deadlines, setting expectations for their involvement and allowing them to plan for managing their own time and effort. 

  • Offer opportunities to ask questions or get support from you and other team members.
